Throughout this document, ‘Beacons Netball Club’ and ‘Beacons Sports Ltd’ will be referred to as Beacons unless listed otherwise

 Below you will find the Terms & Conditions in place for Beacons. These have been created so that you know what you can expect from us as an organisation and what we expect of you as a member. TERMS AND CONDITIONS OF BEACONS NETBALL CLUB & BEACONS SPORTS LTD.

 

HOLIDAY CAMPS, MASTERCLASSES & INSPIRATION DAYS (part of Beacons Sports Ltd)

1.    There are set spaces available at each event, dependent on staff and facilities, therefore Beacons reserves the right to reject any applications. 

2.    Bookings must be made in advance of attending a session by completing the online booking form, with full payment to secure your space.

3.    Payment must be made within 48 hours of the booking. If payment is not received within 48 hours we have the right to release the space and offer it to another individual.

4.    All bookings are non-refundable.

5.    Sessions missed for any personal reasons / change of plan, cannot be refunded, made up or transferred.

6.    However, if we are given 7 or more days’ notice in writing, we will do our best to change your dates to an alternative camp in the same holiday season, subject to availability.

7.    If you purchased a discounted block booking and wish to then split up the days across different weeks, your booking will then be recalculated using the standard daily rate, which may result in an additional charge.

8.    Credit notes / refunds are only given in exceptional circumstances (ie serious injuries or medical grounds. NB evidence may be required) and individual cases will be discussed.

9.    Our holiday camps, masterclasses and inspiration days are open to members and nonmembers of all abilities. Please note some masterclasses and inspiration days may be tailored to more experienced players due to the content of the session; we would state this in our event information.

10. Prior to attending an event, the parent must complete the relevant consent questions. We must hold the necessary medical / allergy / emergency contact information relating to that player. Any players without consent information will not be able to participate in the sessions until we are in receipt of the relevant information.

BEACONS ACADEMIES (part of Beacons Sports Ltd)

Bookings, Cost, Refunds and Credits

11. There are set spaces available at each Academy, dependent on staff and facilities, therefore Beacons reserves the right to reject any applications.

12. Bookings must be made in advance of attending a session by completing the online booking form, with full payment to secure your space. (Beacons Academies run for the following timeframes: Autumn term – 10 weeks / Spring term – 10 weeks / Summer term – 8 weeks).

13. Payment must be made within 48 hours of receipt of our invoice. If payment is not received within 48 hours we have the right to release the space and offer it to another individual.

14. All bookings are non-refundable.

15. Beacons do not offer trial sessions or one-off payments for single sessions at our Academies.

16. If you wish your child to train with the Academy they will need to commit to the full term (note term lengths in condition 12 above) and full payment.

17. If an Academy has spaces at the half term point, we offer a reduced rate to those wishing to sign up at this stage and any weeks thereafter. Before this point the full termly fee will apply.

18. If Beacons have to cancel a session, the missed session will be rescheduled. If an individual misses a session for any other reason, it will not be refunded or transferred. 

19. We understand that not all members may be able to make every session due to personal circumstances. We do not need to be notified in advance by email if your child cannot attend. A register is taken to ensure we know who is in attendance from a health and safety perspective.

20. Credit notes / refunds are only given in exceptional circumstances and individual cases will need to be discussed and reviewed by our office and finance teams prior to being agreed.  

21. Credit notes / refunds will not be given for circumstances not in our control such as if a player has a change of mind or your arrangements mean you are no longer able to attend. 


22. We understand that sometimes injuries or medical circumstances arise. If an injury or medical diagnosis has been identified during a term, and the player is unable to continue participating for the remainder of the term, we may be able to offer a credit note. (NB evidence may be required).


23. If a credit note / refund is issued, this will be valid from the point of initial written communication and cannot be backdated prior to this.


Current and New Member Definitions, New Member Administration fee and Priority Window eligibility 

24. New Members Application – New members are those individuals that have not previously attended a Beacons Academy or have not attended any Beacons Academies within 18 months.  A new membership administration fee is applicable for new members at the time of booking your Academy place and will be added to the term fee payment.


25. Current Members are those who have attended an Academy within the last 18 months or have been part of a squad in the current season. If you have not attended for a number of terms but are still within the 18 month window, you are still eligible for the current member term cost and are exempt from the new member administration fee.

26. A Current Member only has access to the priority booking window if they attended the previous term’s Academy: ie: a member has access to the priority window for booking onto the Summer Term if they attended the preceding Spring term. If they last attended in the Autumn term and did not attend the Spring term, but wish to book onto the Summer term, they will not qualify for the priority window.

27. Submission of a Booking Form is a request to book a space for an Academy and membership shall only be effective on issue of payment. Until then a place is not guaranteed.

SQUAD MEMBERSHIP (Beacons Netball Club)

29. If an individual (member or non-member) is selected into a Beacons squad they will need to register with the club via the England Netball affiliation scheme.

30. Squad players are expected to meet the commitments and requirements that have been well communicated in our Beacons Netball Club Structure document and through all communication relating to trialling for a squad.

31. By accepting your place in a squad for the season (September – April), you are committing to completing payment of club subs for the season.

32. If a player discontinues mid-season, their squad subs are non-refundable.

GENERAL TERMS & CONDITIONS (applicable across Beacons Netball Club and Beacons Sports Ltd)

Wet weather policy

33. Beacons are an all-weather sports coaching provider. Our sessions are run indoors during the winter months although some sessions may use outdoor facilities during this time if it is safe to do so.

34. In adverse weather conditions we will contact you via email prior to the session, if the conditions make the courts unsafe. We aim to give as much notice as possible, however with changing weather conditions it is sometimes not possible. Decisions will be made based on player safety.

35. If we have to cancel a session due to bad weather, we will do our best to offer an alternative session for you to attend.

Photography

36. During any of the following (squad fixtures, squad training, squad socials, academy sessions, academy friendly fixtures, holiday camps, masterclasses, inspiration days, Beacons annual intra-club festival, Beacons end of season awards evening, Beacons arranged excursions or tours, and any other tournament or event that Beacons organises or attends that is organised by an external party), photos may be taken of participants to be used as images or video for publicity purposes on our website and in printed/social media. 

37. Please contact us if you want to opt out of this and complete the relevant information in our consent form which is required for every member of Beacons.

Insurance & Liability

38. Beacons Sports Ltd holds Public Liability Insurance and Professional Indemnity for our sporting services.

39. Beacons Sport Ltd and Beacons Netball Club cannot be held responsible for any act, omission or loss or damage unless proven to be caused by the organisations’s negligence. Beacons Sports Ltd and Beacons Netball Club does not accept responsibility for events which are outside of our direct control.

Equipment and facilities:

40. The use of the equipment in the facilities we use, and that provided by the Club has all been checked and regarded as safe, if however an accident occurs we are not liable for any incurred costs.

41. Any damages to the equipment or facilities by a member during any session shall be required to be replaced or fixed accordingly. 

42. Please ensure correct sports footwear is worn to play netball at both indoor and outdoor facilities to protect yourself and avoid damaging the floor at indoor facilities we hire. Players should also ensure they wear appropriate clothing for their own comfort and hygiene. 

43. Check with your Doctor before starting any new sporting activities, particularly if you have existing problems which could be affected by the sport you wish to play. 

44. The facilities we run our sessions at are non-smoking areas, and smoking/vaping is expressly prohibited at all locations. Please also note that players are prohibited from chewing gum while participating in netball activities.

45. Members’ and their families are asked to leave the facilities, toilets and car park areas in a clean and tidy condition after use, and all rubbish should to be taken home or put into the appropriate bins.

Health and Safety

46. Beacons will carry out a risk assessment at all facilities they use.

47. Please do not attend a Beacons fixture, training session or event if you have had a fever, sickness or diarrhoea within the last 48 hours.

Discrimination and inclusivity

48. Beacons is run to provide all an inclusive and welcoming environment and we ask that all our members and parents/guardians offer no discrimination or ill-behaviour towards any other members. 

49. We reserve the right to deal with any incidents that occur involving adverse behaviour. This may result in suspension from sessions or removal of membership.

50. Any breaches of these conditions will result in the cancellation of membership without refund.

51. These Terms and Conditions of membership are subject to change after internal review.
